Terms of service

Last updated: September 11, 2026

1. Who we are

TravelPrepDesk is operated by TravelPrepDesk LLC, [Company address — set under TravelPrepDesk → Business details]. In these terms, “we”, “us” and “our” mean TravelPrepDesk LLC. “You” means the person placing an order, whether for yourself or on behalf of another traveler.

We are a private company. We are not a government agency, an embassy, a consulate or an immigration adviser, and we are not affiliated with or endorsed by any government body. Every arrival card we file can be filed by you directly on the relevant official government website, free of charge. Links to those official sites appear on each destination page.

2. What the service is

We prepare, check and submit arrival card applications on your behalf for the destinations listed on this website. For each order we:

Our fee is for that work. It is separate from any fee an authority charges, which is shown on the destination page where one applies.

3. What the service is not

We do not decide the outcome of your application. Approval, refusal and any conditions attached are decisions made solely by the relevant authority. We cannot influence, expedite or appeal those decisions, and we do not guarantee that any application will be approved.

We do not provide immigration, legal or travel advice. Nothing on this website should be relied on as a determination of your eligibility to travel or enter any country.

We do not check visa requirements beyond the arrival card you order, confirm the validity of your passport, or verify that your travel documents satisfy any airline or carrier.

4. Your responsibilities

You are responsible for the accuracy and completeness of everything you give us. We check for internal consistency and obvious errors, but we cannot verify that details are true, and we file what you supply.

You confirm that you are at least 18 years old, or that you have the authority of a parent or guardian; that you are authorised to submit an application on behalf of every traveler included in your order; and that the information you provide is accurate to the best of your knowledge.

You must contact us promptly if your travel details change after you order, and before we file. Once an application has been submitted, changes may not be possible and may require a new application at additional cost.

5. Timing

Processing times shown on this website are estimates based on the authority’s published guidance and our own experience. They are not guarantees. Some authorities only accept an arrival card within a set window before travel, in which case we hold your application and submit it inside that window rather than immediately.

Applications made close to a departure date carry a real risk of not being processed in time. We will tell you if we believe your timeline is too tight, but we accept no liability for a document that does not arrive before travel.

6. Fees and payment

Prices are displayed before you order and are charged in US dollars. Payment is taken at the time of order and is processed by our payment provider; we do not store card numbers.

Where an authority charges its own fee, that fee is shown separately on the destination page. Depending on the destination, it may be collected by us and passed on, or paid by you directly to the authority.

7. Cancellations and refunds

Our refund policy forms part of these terms and sets out when a refund is available. In summary, you may cancel for a full refund before we begin work on your application; after that, whether a refund applies depends on the reason.

8. Communication

We correspond by email at the address you give us, and we may call the number you supply if something is urgent. It is your responsibility to give a working email address and to check it, including spam and promotions folders. We are not responsible for a document that does not reach you because of an incorrect address or a filtering rule on your side.

9. Limitation of liability

Nothing in these terms excludes liability that cannot lawfully be excluded, including liability for fraud or for death or personal injury caused by negligence.

Subject to that, our total liability arising from any order is limited to the service fee you paid us for that order. We are not liable for indirect or consequential loss, including missed flights, cancelled accommodation, lost earnings, or the cost of alternative travel.

We are not liable for a refusal, a delay or a condition imposed by an authority, for changes to entry requirements, or for a carrier’s decision to deny boarding.

10. Intellectual property

The content, design and code of this website belong to TravelPrepDesk LLC or our licensors. You may not copy, reproduce or republish any part of it without written permission, except for your own personal, non-commercial use.

11. Changes

We may change these terms. The version published on this website when you place an order is the version that governs that order. Material changes will be reflected in the “last updated” date above.

12. Governing law

These terms are governed by the laws of the State of Arizona, United States, and the courts of that state have exclusive jurisdiction over any dispute, except where consumer protection law in your country of residence gives you a right to bring a claim elsewhere.
